Skills required:
At least 5 years’ experience in financial management and administration.
High level of computer literacy. You will be required to learn and implement new business software.
Competent in the following software:
- Xero
- BlueRock WorkflowMax
- Payroll software (Smartly)
- Microsoft Office Suite including Outlook, Word, Excel and Office 365
A good understanding of accounting principles and taxation
Previous experience and good knowledge in employment and HR regulations
Ability to maintain confidentiality
Ability to meet deadlines and handle multiple tasks
High attention to detail and accuracy
Good communication skills
Strong organisational skills
Knowledge of HR, employment and Health and Safety regulations.
Desired skill:
Experience in HR, Health and Safety, employment contracts, accounting, administration and minute taking.
Key responsibilities:
Executive Assistant:
Under general direction, performs advanced and diversified administrative duties for a top-level executive/officer of the Company. Handles confidential matters and performs support functions which require a broad and comprehensive knowledge of Company policy and procedures. Assist in client contract management.
Communicates and/or coordinates executive’s instructions with various individuals and/or departments. Furnishes and obtains information from other Company executives or outside representatives. Handles extremely confidential and/or sensitive information of a Company-wide nature with the highest discretion and decorum. Answers questions and prepares routine/non-routine correspondence in the place of the executive. Obtains and furnishes information on behalf of the executive.
Makes necessary travel arrangements, including ground transportation and hotel accommodations. Prepares travel itineraries for the executive and direct reports. Makes arrangements and coordinates all details for meetings, conferences and special events.
On behalf of the executive, meets with the direct reports to gather any information needed by the executive. Prepares compiled information for the executive’s review. May recommend actions to be taken by the executive based on the gathered information.
May manage various administrative projects. Participates in gathering research and generates reports as needed. Notifies project participants on timelines and completion dates.
Prepares and presents reports on special projects. Collects, analyses, and formats the requisite information and data and maintains the database. Review presentation materials to ensure that the executive can effectively deliver the presentation to the intended audience. Distributes information to the staff as required.
Assist MD with recruiting campaigns. Collation of material for performance reviews and team KPI’s.
Assist Accounts Administrator:
- Reconcile bank accounts and credit card accounts in Xero
- Calculate and process monthly journals
- Compile and prepare end of month reports such as Profit and Loss, various financial analysis reporting for monthly Management meetings
- Enter creditor invoices in Xero and produce monthly payment batch via Xero
- Produce draft client invoices in Xero each month
- Prepare and check draft GST return, file online when approved by Managing Director and Accounts administrator.
- Gather required information for accountant at financial year end, generating year-end reports.
- Fulfil tax related requirements including employee deductions and FBT
- Set up payments in BNZ for authorisation
- Update financial spreadsheets when required
- Assist in client contract management
- Provide sole cover when required for short period as leave cover.
Assist – Operational & General Office:
- Assist in compiling RFP and ROIs when required
- Produce company meeting minutes
- Manage company resources such as room/pod bookings, maintain vehicle records and maintenance
- Organise and manage company vehicle leases
- Assist in gathering quotes, checking pricing for company overhead expenses such as electricity, cleaning, maintenance, consumables
- Order required company stationery and groceries
- Assist Graphic Designer and MD to compile company strategic plan and other documents when required
- Book travel and compile travel itineraries when required
- Assist in organising company functions, supplier presentations and team events
- Organise and pick up weekly team morning teas
- Keep the office organised and tidy and manage company cleaners
- Keep resources filing system tidy
